Choosing a yarn supplier in China is a capability decision, not a price auction. The wrong shortlist shows up later as shade drift, broken reorders, missing certificates, or packaging that cannot support your brand. The right supplier matches your volume band, customization needs, documentation bar, and replenishment rhythm.

This guide is the decision layer before you lock a PO. Full workflow: How to Source Yarn from China. Commercial entry: yarn manufacturer.

Start With Your Buyer Profile

If you are… Prioritize suppliers who…
Distributor / wholesaler Hold stable running colors, clear MOQ, export docs
Private-label brand Lock style + pack + labels (packaging guide)
OEM / custom program Run brief → sample → dip → bulk (OEM process)
Amazon / marketplace seller Protect unit consistency and restock (FBA path)
Certification-led retail Prove GRS / OEKO-TEX claims with documents, not logos

Write the profile in one paragraph before you email anyone. Incomplete briefs attract the wrong quotes.

Factory-Backed vs Trading-Only (Quick Filter)

Signal Factory / mill-backed Trading-only risk
Process answers Can explain spinning / dyeing / finishing path Vague “we have factory partners”
Style numbers Stable SKU IDs across samples and quotes Photos without retained standards
Reorder story Retained samples / dips / QC plan “Next lot will be similar”
Cert path Knows which docs apply to your order Website badge only
MOQ logic Explains dye / pack drivers (MOQ guide) Any color, any MOQ, no trade-offs

Fancy constructions (e.g. chenille) expose weak suppliers faster—see manufacturer vs trader.

Must-Ask Questions (Before Samples)

  1. What is the exact style number for this hand feel / count?
  2. Which colors are running / stock vs custom dye?
  3. What is MOQ per color and per style, and what drives it?
  4. Typical lead time from PO to EXW/FOB for this program (calendar)?
  5. Which certifications can you support for this fiber and claim?
  6. How do you handle shade approval and retained standards (lab dips)?
  7. What is your QC and remedy process if bulk drifts from approval?
  8. Who owns packaging tooling and artwork revisions?

If answers stay generic after two emails, do not expand the shortlist—replace the candidate.

Shortlist Scorecard (Weight What Matters)

Score each candidate 1–5:

Criterion Weight tip
Spec clarity & style control High for any reorder business
Sample discipline High for OEM / private label
MOQ fit vs your capital High for first programs
Documentation readiness High for retail / EU claims
Communication speed & written records High for remote buyers
Landed-cost competitiveness Medium—never sole filter
Capacity for your volume band Medium–high for growth SKUs

Prefer two finalists over ten soft leads. Run the same sample request brief on both.

Red Flags (Walk Away Early)

  • Price far below peers with no process explanation
  • Refusal to name style numbers or keep retained samples
  • “Certificate available” without tying docs to product / lot
  • Push to skip lab dips on custom colors
  • Changing contact person every week with no shared PO file
  • Photos only—no knit/crochet swatch or measurable specs

Decision Tree

  1. Need repeatable ASIN / brand pack? → Factory-backed first
  2. Need one spot fill of commodity? → Trader/stock may be OK; do not build hero SKUs on it
  3. Claims on hangtag / listing? → Docs before marketing copy (GRS verification; OEKO-TEX and other certs are covered in the sourcing workflow)
  4. Still stuck on FOB only? → Rebuild comparison on landed cost + Incoterms (see sourcing workflow — Incoterms)

Frequently Asked Questions

How many suppliers should I shortlist?

Two or three qualified options is enough for a first program. More than five usually means your brief is too vague.

Should I always visit the factory?

Visits help for large or high-risk programs. Many buyers start with documented samples, video of process, and third-party inspection on first bulk.

Is the lowest MOQ always the best supplier?

No. Ultra-low MOQ often means trading stock or shared dye lots—fine for tests, weak for brand consistency.

Where do I start commercially?

Summary

Choose suppliers by fit to your program—control, docs, MOQ, and replenishment—not by the cheapest FOB line. Shortlist tightly, sample identically, and score in writing before capital leaves.

Next steps: Lock a one-page brief from the scorecard above, run the same sample request on your finalists, and request a factory-backed quote—or browse the yarn catalog for base styles.
